Nextens Integration

Integrating Simplicate & Nextens for Real-Time CRM Data Synchronization

About the integration

By integrating Simplicate with Nextens, CRM data from Simplicate is synchronized to Nextens. Both for creating new clients and for updating existing CRM data.


How do you set up the integration?

In Simplicate, you first need to select the "Accountancy" industry under Settings > Subscription (see image below).


Accountancy add-on

The Nextens integration is part of the accountancy add-on. This add-on can be activated in your environment upon request. There are costs associated with this, as listed on www.simplicate.nl/tarieven. You can also see what else is included in the accountancy add-on besides the Nextens integration.

For more information about the add-on or activating it, please send an email to [email protected].

Once the accountancy add-on is activated, go to Settings > Account > Add-ons and Integrations. You’ll now see Nextens listed here. Click on Nextens:

  • Click the green button ‘Connect Simplicate to Nextens’.

  • To establish the connection, you will need a Nextens token. You can find this token in your Nextens environment under Settings > Connections > Simplicate.

  • Copy the token and paste it into the respective field in Simplicate.

  • Click Save. The connection is now established.


Synchronize CRM-information

All companies and people with the checkbox ‘Synchronize with Nextens’ will be included in the synchronization.

Velden

Below is an overview of the data included in the integration. Even if you change fields (and save them), the data is synchronized in real-time. The data in Simplicate is leading and overwrites data in Nextens.

Fields that are synchronized are: (fields in bold are required for the integration to work):

Note:

  • Nextens does not have contacts. Any data entered at this level within Simplicate will be ignored.

  • If the ‘Different postal address’ checkbox is not selected on the company card, the visiting address will be sent to Nextens as the postal address.

  • If the BSN number of a person already exists in Nextens, the relationship will be automatically linked. This will overwrite the information in Nextens with the data from Simplicate.

  • If a person exists in both Simplicate and Nextens, but only in Simplicate a BSN is entered, a match will be made based on the exact name.

  • If the RSIN is not filled in within Simplicate, or cannot be found in Nextens, a match will be made based on the exact company name.

  • If no match can be found, a new client will be created in Nextens.

  • If a synchronization fails for any reason, a message will be posted on the timeline with an explanation of why it failed. An email will also be sent with the reason for the error to the logged-in user who attempted the synchronization (the person who clicked save). Additionally, the checkbox for e.g. “Synchronize with Nextens” will be unchecked. The error messages you see come from Nextens.

  • There is validation on all tax numbers to check if the format is correct. If not, the data cannot be saved.


Mapping

For an accurate overview of the relations linked to Nextens, you can use the mapping. You can access this page via Settings > Add-ons and Integrations > Nextens > ‘Click to open in a new tab’.

In the mapping, you can see which Simplicate relations are linked to which Nextens relations via a unique ID. In the field ‘Linked in Nextens to’, you can find the Nextens ID of the relationship. This field is editable. This allows you to manually link to another Nextens relation by entering a different Nextens ID. After making a change, you must always click save. The synchronization of the change is processed in Nextens immediately.

We also offer the option to manually break the link between the relations. This can be done by unchecking the synchronization checkbox. This is the same checkbox that can also be found under CRM relation > Company Details / Personal Details.
