Fiscaal Gemak is an online tax software used by accounting firms for preparing tax returns.
The Integration with Simplicate
When you integrate Simplicate with Fiscaal Gemak, Simplicate’s CRM data is synchronized with Fiscaal Gemak. This applies to both creating new clients and updating existing CRM data.
How to set up the integration
In Simplicate, first go to Settings > Subscription and select the ‘Accountancy & Administration’ industry (see the image below).
Accountancy Add-on
The Fiscaal Gemak integration is part of the accountancy add-on. This add-on can be activated upon request in your environment. There are costs associated with it, as outlined on www.simplicate.nl/tarieven. There, you can also find details on what else is included in the accountancy add-on, besides the Fiscaal Gemak integration.

Once the accountancy add-on has been activated, go to Settings > Account > Add-ons & Integrations. Fiscaal Gemak will now be listed there. Click on Fiscaal Gemak:
Click the green button that says "Start synchronization between Simplicate and Fiscaal gemak"
Now, select the correct API endpoint (this is a dropdown with three options, corresponding to those on the login page: https://accountancygemak.nl/inloggen2/).
You can create the API key for the Fiscaal Gemak integration in your Fiscaal Gemak environment via Your Account > Management > Integrations > API Integrations. Once the API key is generated, you can copy and paste it into the corresponding field in Simplicate. Click Save, and the page below will then be displayed:
In Fiscaal Gemak, clients can be grouped by associating them with a Client Group. To ensure that the clients you transfer from Simplicate to Fiscaal Gemak are correctly linked to the appropriate Client Group, it’s important to enter the Client Groups in the list from the screenshot above. Note: the names of the Client Groups in this list must match exactly with how they are known in Fiscaal Gemak.
Synchronizing Relations
Once the integration is activated, companies and individuals can be linked to Fiscaal Gemak. You can indicate on the individual or company data whether it should be synchronized. It’s also possible that relationships already exist in Fiscaal Gemak. Here’s how the synchronization works in such cases.
Linking an Existing Person with Fiscaal Gemak
During synchronization, Simplicate checks if the BSN (citizen service number) of the individual in Simplicate already exists in Fiscaal Gemak. If the number exists, Simplicate will automatically link this individual to Fiscaal Gemak.
If the person is not found based on the BSN, a new client will be automatically created in Fiscaal Gemak, or a message will appear on the timeline explaining why the synchronization failed.
Linking an Existing Company with Fiscaal Gemak
During synchronization, Simplicate checks if the RSIN (company identification number) of the company in Simplicate already exists in Fiscaal Gemak. If the RSIN exists in Fiscaal Gemak, Simplicate will automatically link the company to Fiscaal Gemak.
If the company is not found based on the RSIN, a new client will be created automatically in Fiscaal Gemak, or a message will appear on the timeline explaining why the synchronization failed.
Linking Based on a Fiscaal Gemak ID
In addition to checking if the BSN/RSIN exists in Fiscaal Gemak and linking relationships accordingly, there is also an alternative method for linking existing relationships. You can manually link relationships based on the Fiscaal Gemak ID. To do this, go to the settings in Simplicate > Account > Integrations > Fiscaal Gemak, and click on “Link Relationships.” Here, you will see an overview of your relationships in Simplicate and which relationship they are linked to in Fiscaal Gemak (see the image below).
To link an existing relationship, find the ID in Fiscaal Gemak and enter it here. You can find the ID in the URL when you open the client in Fiscaal Gemak. In the example below, the ID is 952106. Enter this ID in the “Linked in Fiscaal Gemak to” field and check the box for ‘Synchroniseer naar Fiscaal Gemak’. This checkbox will now be applied to the CRM relationship, and changes will be synchronized in real-time with Fiscaal Gemak.
Syncing information with Fiscaal Gemak
All companies and individuals with the checkbox ‘Synchronization with Fiscaal Gemak’ will be included in the synchronization.
The following data will be included in this integration. Even if you change fields (and save them), the data will be synchronized in real-time. The data in Simplicate is authoritative and will overwrite the data in Fiscaal Gemak.

For both companies and individuals, multiple fields can be modified collectively. This can be done via CRM > tab ‘Companies’ or ‘Individuals’ > check the box for the relevant companies/individuals > modify. In the pop-up window that follows, the following fields can be modified collectively:

Important notes:
You must create the contact person under the “Contact persons at this company” tab and then select them under the “Company details” tab in the “Contact person” section. This is where you also enable the synchronization with Fiscaal Gemak.
To successfully synchronize the ‘Tax Advisor’ field in Simplicate with the ‘Consultant’ field in Fiscaal Gemak, it’s important that the person is a user in Simplicate and that the ‘Work email’ field is filled out in the HRM module > Employee > Profile.
If synchronization fails for any reason, a message will appear on the timeline explaining why it didn’t work. Additionally, an email will be sent to the logged-in user attempting the synchronization (the person who clicks save) with the reason for the failure. The checkbox, such as “Synchronize with Fiscaal Gemak,” will also be unchecked. The error messages you see come from Fiscaal Gemak.
All tax numbers have a validation check to ensure that the format of the number is correct. If not, you won’t be able to save it.
Importing Company Types
The company type is a required field to establish the connection with Fiscaal Gemak, but sometimes a collective action is not sufficient. Therefore, you can also add it using an (update) import. To import the company types, the values from Fiscaal Gemak must be filled in your import file. These are the following:

Replacing the Fiscaal Gemak API Key
If the Fiscaal Gemak API key is about to expire, you will need to replace it in Simplicate. To do this, send a message to [email protected]. In this message, you should provide the new API key, and Simplicate will replace the key for you on the backend.
