Insights: Budget per hourtype

Gain insight into the budget and expenditures per hourtype.

How much have I budgeted in total for a specific hourtype? How much has already been spent on that hourtype? Which types of tasks do I need to allocate the most time to? This report answers those questions.


Application

Hourtypes are typically tasks or roles within your organization. This report helps you gain insight into how much you’ve budgeted (in both hours and value) and how much has been spent over a given period. By selecting all your active projects, you can see the difference between the budgeted hours and the actual time spent on a particular hourtype, helping you determine how many more hours you need to allocate for that type.


Budget & Expenditures per Hourtype

This report displays two graphs and one table. The graphs show budget vs expenditures: the left graph is based on hours, and the right graph is based on value (€). The table below includes the following standard fields:

  • Hourtype

  • Budget in Hours

  • Expenditure in Hours

  • Budget in Value

  • Expenditure in Value

This gives you a quick overview at the “hourtype” level. You can filter the data using the filters on the right side. For example, if you want to see your budget for all projects with a start date in 2023, set the filter “Start Date of Project” to 2023. To see how much you’ve spent on a particular hourtype in a specific period, use the “Period of Hours Spent” filter.

Note: The last filter only affects the expenditures, not the budgets.

By right-clicking on the top of the table, you can add certain “hidden” fields to create your preferred view. These fields can be added as rows:

  • Client

  • Client - Project

  • Revenue Group

  • Standard Service

  • Project Service

  • Subscription Cycle

These fields can be added as columns:

  • Budget - Spent (Hours)

  • Budget - Spent (€)


Points of Attention

Be mindful of subscription models. For subscriptions, you set a budget per subscription cycle in Simplicate. In this report, you'll only see the budget per cycle for subscriptions. The expenditures for the hourtype in subscriptions will show the total expenditure. Therefore, comparing the budget directly to the expenditures is not straightforward when using subscriptions. If you want to see the yearly budget for monthly subscriptions, apply the filter for “Invoice Method” (choose subscription) and “Subscription Cycle” (choose month). Then, export the table to Excel, add a new column, and multiply the budgets by 12.

The top filter (“Period of Hours Spent”) only affects the expenditures, not the budgets.
