If you're using a purchase integration, you'll need to activate project numbering. See these articles for more information about the Exact purchase integration and the Twinfield purchase integration.
Project numbers can be activated via Settings > Projects > General project settings:
When you want to use project numbers, you have 3 options:
1: Take over project ID automatically from Sales (quote number)
This option automatically populates the project number with the quote number from the sales process. For this to work, you must have configured all quotes within the same sales processes to have the same quote numbers. It also only works when you create a project by setting a sales process to "accepted" and then choosing the action: "create new project".
2: Manually fill in project numbers
With this option, you can enter any project number you want.
Please note: If project purchasing is used in combination with an accounting integration, carefully check if the numbering can be transferred to your accounting package.
When creating a new project, you can immediately add a project number:
Simplicate directly shows the last added project number that was created for a new project. If the next number is already in use (because you used it on another project), you will receive a notification. You can increment the number until you have entered a unique number; only then can you save it.
3: Automatic project numbers (counters at company profile)
With this option, Simplicate will fill in a project number from a pre-set counter. When you choose this option, you can set the default counter for all company profiles on the main company profile. However, you have the option to set a separate counter for each company profile:
The counter is structured as follows:
Fixed prefix: A fixed prefix is a self-defined text or combination of numbers and letters that is placed before the project number. This fixed prefix is placed before the counter and therefore does not increment.
Prefix: A prefix is a standard series consisting of one or more letters and/or numbers that is placed before the actual number sequence of the project. If you set the prefix to be a year, the project number will restart in the following year. Other prefix options are:
The first 3 or 4 letters of a relation name with or without a "-" after it.
The relation number with or without a "-" of the relation (company/person) linked to the project.
Number of digits: This indicates how many digits the project number consists of. This number excludes any digits that may be part of the prefix.
Next project number: Here you will see the next project number as a result of the settings mentioned above. You can also adjust this next project number so that it aligns with an existing series of project numbers you created outside Simplicate.

Service Numbers
If you are already using project numbers, it is also possible to assign a number to the services that fall under a project. You can also set this via Settings > Projects > General project settings. The project number will be used as a prefix for the service number.
Service numbers are only displayed within Simplicate itself. They are not placed on invoices.
