Addressing and salutations

Choose how you want to apply the Attn. line and how you want to address a customer on a quotation or invoice!

Addressing (Attn.)

For each quotation and invoice template, you can choose the type of addressing:

  • Formal

  • Formal + initials

  • Informal

These are the standard options. It is also possible to deviate from this on a person level and use your own form of addressing. If you want to know more about that, read the article below:

Below you will find a detailed explanation for each type.

Formal

Attn. [Mr / Ms] [Prefix] [Last name]

Conditions:

  • “mr” or “ms” is always written in lowercase

  • IF gender is not filled in (unknown in CRM), THEN the literal text ‘mr / ms’ is shown

  • Prefix is always capitalized (because it marks the start of the proper name)

  • Last name is always capitalized


Formal + initials

Attn. [Mr / Ms] [Initials] [prefix] [Last name]

Conditions:

  • “mr” or “ms” is always written in lowercase

  • IF gender is not filled in (unknown in CRM), THEN the literal text ‘mr / ms’ is shown

  • Prefix is always lowercase (because the name already starts with initials). But:

    • IF initials are not filled in, THEN prefix is capitalized

    • IF initials are filled in, THEN prefix is lowercase

  • Last name is always capitalized


Informal

Attn. [First name] [P/prefix] [Last name]

Conditions:

  • IF first name is not filled in, THEN prefix is capitalized

  • IF first name is filled in, THEN prefix is lowercase

  • First name is always capitalized

  • Last name is always capitalized


Placeholder (Salutation)

For each quotation and invoice template, you can select several placeholders in the text blocks to address your (potential) customer correctly. These are the standard options:

  • Formal

  • Formal + initials

  • Informal

Below you will find a detailed explanation for each type.


Formal salutation

Dear [mr / ms] [Prefix] [Last name]

Conditions:

  • “mr” or “ms” is always written in lowercase

  • IF gender is not filled in (unknown in CRM), THEN the literal text ‘mr / ms’ is shown

  • Prefix is always capitalized (because it marks the start of the proper name)

  • Last name is always capitalized


Formal salutation + initials

Dear [mr / ms] [Initials] [prefix] [Last name]

Informal salutation

[First name] [P/prefix] [Last name]

Conditions:

  • IF first name is not filled in, THEN prefix is capitalized

  • IF first name is filled in, THEN prefix is lowercase

  • First name is always capitalized

  • Last name is always capitalized


Availability of placeholders [P]

Placeholders are available in the following places:

  • Quotation template: standard text block + email content (email template)

  • Quotation editor: edit text block

  • Send quotation > message

  • Invoice template: footers and note on the invoice + email content (email template)

  • Invoice editor: note field

  • Send invoice > message


Attn. visible on person level on the invoice

It is also possible to use Attn. for persons. In CRM > Persons > Invoicing, you can indicate whether you want to use the Attn. line. Click on Department / Person and a text field appears where you can manually enter who the invoice should be addressed to.

On your invoice, for example, the following will appear:

Simplicate  
Attn. Accounts Payable
Laan Corpus Den Hoorn 102-1
9278 JR Groningen

You can find this setting under CRM > Persons > Invoices. Whatever you enter at the addressing for persons will also appear in the addressing of the invoice. This gives you full freedom to decide what you want to enter and how it will be displayed in the addressing on the invoice.
