Registering time during sales is available in our Organize, Rise and Optimize subscriptions.
In every industry, carefully registering hours is of great importance. With complete time tracking, you maintain control over the progress of sales, projects, and project budgets. Complete and structured time tracking has a direct impact on your business processes and the profitability of your company.
To facilitate full time tracking, Simplicate also allows you to register hours during the sales phase. These hours are then visible together with the hours spent on the project.
How it works
Create a project in advance
To register time during a sales process in Simplicate, you create a project from the sale in advance. You can do this simply by selecting “link project” in the sale. The correct options will then be shown and preselected, depending on the status of the sales process.
No quote sent yet:
If you have not yet sent a quote to your customer, Simplicate assumes that you want to register time during the sale but do not yet want to add services to the project. Via “link project”, the option to register time during the sale is selected, while the services remain unselected, so the project is created in the correct way.
Quote already sent:
If you have sent a quote to the customer, Simplicate assumes that you want to register time during the sale and also add services to the project.
Quote digitally signed:
If a quote has been digitally signed and the sale is won, Simplicate automatically selects the services chosen by the customer when creating the project. This makes creating the project and transferring the correct services easy.
A project was created earlier
If you created a project earlier from the sale, Simplicate helps you handle the situation correctly from an administrative perspective once the sale is won or lost.
If the sale is won, Simplicate compares the service on the project with the service on the sale and notifies you if the quantity, price, or hour budget no longer matches. You will then need to enter the correct information on the project.
If the sale is ultimately lost, you can easily close the acquisition service, close the project, and remove the created services if no hours or invoices are linked to them yet. If hours have already been registered, decide what you want to do with these hours and handle this further within the project.
Hours registered during the sale are also visible in the project
Hours that you register during the sales phase are immediately visible on the project. This gives you clear insight into the actual result of a project and the amount of time the sales department has spent on that project.

Settings
Registering time during sales becomes available once you enable the setting. You can do this via Settings → Sales → General sales settings. You can then configure the acquisition service.
This service is always an actual costing service. An hour type must be present on this service in order to use the “Register time during sales” functionality.
