Simplicate is built for professional service providers. And because virtually all of them work with hours, Simplicate features a unique service concept. Where you may be used to formulating your services as items or products, in Simplicate you work with services.
Each service comes with a 'price per unit' that you can invoice in highly flexible ways. Sometimes you deliver a job in one go at a fixed total price, sometimes you work on a time and expenses basis, and sometimes a client wants you to perform specific work at specific times. All of this is possible with the flexible service concept in Simplicate's Project Management Software.
What is a service?
A service in Simplicate is essentially a price agreement that you can put on both the quote and the invoice. As an accountant, for example, you advise on financial matters. You may also offer the preparation or auditing of annual accounts. Another example: as a web agency, you build and maintain websites. Or: as a marketing company, you offer Google AdWords and SEO optimization.
You can probably think of a whole range of services for your business. You'll map all of these out and define them as services in Simplicate. The next question is: how will you invoice them?
The right invoice method
Each service you provide can be invoiced in 3 ways:
Fixed price
Subscription
Time and expenses
The invoice method (literally) only refers to the way of invoicing. It is very important that you apply this correctly. Here are a few examples:
You could agree on a fixed price, which you can optionally invoice in installments. You can do this for a one-off service, such as building a website, but you could also work on an hourly basis. If there is regularity in the service delivery, you might consider a subscription — your client takes a fixed number of hours from you each month.
With Simplicate's service concept, it doesn't matter what you agree with the client: subscription, fixed price, and/or time and expenses. Everything is possible and can even be combined. For example, as an online marketer you can set up the AdWords service as a subscription and invoice the SEO work on an hourly basis. You combine all agreements in one quote, which, once approved, is easily converted into a project.
Time tracking & invoicing
For each service, you then determine what work needs to be done. Ask yourself, for example, what needs to happen to build that website. These types of work are called 'hour types' in Simplicate.
Based on the agreements made (services + invoice method) and the hours registered against them (hour types), Simplicate automatically draws up the correct invoice for you. You don't have to think about it yourself and will never again be searching for revenue at the end of the month!
Integration with your accounting package
When connecting your accounting package, you set up a one-time mapping between the revenue groups in Simplicate and the general ledger accounts in your accounting package. This way, your accounting package can automatically post invoices from Simplicate in the correct manner.
