Jira integration for registering hours

Simple time registration directly from within JIRA.

Is your organization using Jira? With the Jira-Simplicate integration, you can easily register your hours directly from Jira while keeping the ticket you're working on open.

The integration makes time registration easier and faster for those who regularly work in Jira. This reduces the threshold for time registration, which helps project managers in Simplicate to better manage budgets and quickly detect potential over-expenditure.

You can try the integration for 14 days. In this article, you’ll learn how to activate, use, and remove the integration.

Registering hours

Registering hours using the Jira integration is very similar to registering hours directly in Simplicate. The same elements are available in Jira.

The fields for Project, Service, and Type of Hours are pre-filled intelligently according to your way of working. Suggestions are made based on the last registration in a specific project or epic (parent) in Jira. So if a specific Simplicate project is linked to a Jira project, the integration will recognize this and automatically fill in the suggestion.

Of course, you can deviate from these suggestions and overwrite the values in these fields if, for example, a different service or type of hours needs to be used.

While registering, you can view the budget for the project in Simplicate. This makes the time registrant aware of the impact of their registration on the budget of the project they're working on and the corresponding service and type of hours.

Start time and comments are optional fields. If you do not enter a start time, the registration will appear at the top of your calendar in the Time Module. If you do enter a start time, a time block will be created in Simplicate.

Taken

If your organization uses Capacity Planning in Simplicate, you can also register hours for tasks assigned to your Simplicate account.

Based on the date field, your tasks for the entire week will be retrieved. You then only need to select a task, enter the number of hours, and save the registration.

My registrations

In the 'Registrations' tab, you will see your own registrations linked to the Jira ticket you have opened. In this screen, you have the option to delete a registration or directly click through to Simplicate for more context or to submit your week.

2-way integration

When you edit or delete a registration in Simplicate, the changes will also sync with the integration and will be visible in the 'Registrations' tab.

Jira tickets in Simplicate

In Simplicate, you can see at various locations which ticket is linked to a registration, for example, under "Detail hours" in a project, in project control, or in a time block in the agenda view of the Time module.

It is also possible to show the ticket number on invoice attachments. You can set this up in the invoice template by opening the invoice template in the settings, then go to the 'Translation labels' tab and enable the option 'Add Jira issue number to the comment' under 'Attachment labels'.

Link with Jira Time Tracking

Hours registered through the integration will also appear in Jira’s time tracking reports/KPIs. Even when you delete time registrations via the integration, they will be removed from Jira’s time tracking. This ensures your data in Jira is always up-to-date without needing additional actions when registering time.

With Jira time tracking, you can see how many hours have been spent on each ticket versus the estimated hours. There are also integrations in Jira that work with Jira time tracking, such as Worklogs and Tempo. These integrations offer reports from which project managers can derive deeper insights.

Note: To successfully use this integration within Jira, the settings in your Jira environment must be set to 'JIRA provided time tracking'. You can check this via settings in the top-right corner next to your profile > Issues > Issue features > Time Tracking. You also need the 'Time tracking' field at the ticket level.

One-time activation

To use the integration, activation must take place per Simplicate environment. You can activate the integration in Simplicate via Settings > Add-ons and Integrations > Jira Integration.

Additionally, the integration must be activated in Jira. To do this, visit the Simplicate page in the Atlassian marketplace and complete the installation there.

When activating this integration, you start a 14-day free trial. If you decide not to use the integration after the trial period, you are responsible for deactivating it within these 14 days. After the trial, we will charge for the integration.

Once the integration is activated on both ends, it can be used.

Note: By activating the integration via Simplicate settings, you agree to the costs associated with using the integration. The cost is €21.25 per month (annual billing) or €25.00 per month (monthly billing) for each environment with your Simplicate license.

Note: The integration is available if you have a Professional or Ultimate Efficiency subscription. If you have the Get Started subscription, the integration is not available.

Per gebruiker

Once the activation above is completed, each user can log in with their Simplicate account when first using the integration. By logging in with your Simplicate account, you grant authorization for the integration.

If the login is successful, you will see the Jira integration on your own profile in Simplicate and can register hours from Jira!

Deactivate

If you wish to cancel your subscription to the Jira integration or end the trial period early, simply press the red "Remove Jira Integration" button. This will automatically cancel the subscription.
