Project management in Simplicate: explanation of the basic principles

Project management in Simplicate is largely based on the services concept. In this blog, we quickly and simply explain what the services concept exactly entails, so that afterwards you will be well able to translate your service offerings into ‘services’ in Simplicate.

Services

A service in Simplicate is a kind of (price) agreement that you can place on both the quote and the invoice. As an accountant, you provide advice on financial matters. You might also offer the preparation or review of an annual report. Another example: as an internet agency, you build and maintain a website. Or: as a marketing company, you offer Google AdWords and SEO optimization.”

You will probably be able to come up with an entire range of services for your business. You will map all of these out and designate them as services in Simplicate.

Settings per service

Once you have made agreements with your client about which services you will deliver, you create a project in the Projects module in Simplicate. Here you add the services you will provide, after which you can configure the following per service:

  • Revenue group

    This is also linked to a general ledger account in the accounting package for automatically booking an invoice correctly in your accounting system.

  • VAT code

    This is displayed on the invoice and sent to the accounting package, so that the revenue is automatically booked correctly.

  • Invoice method

    You choose between a fixed price, subscription, or time and expenses. Based on this, the budgets and invoices are generated.

  • Hour types

    Here you optionally indicate which tasks you will perform (so that you can register hours against them). For each hour type, you enter the budget (number of hours and rate).

  • Cost types

    Here you optionally indicate what you will purchase (so that you can register purchases against them). For each cost type, you enter the budget (quantity and rate).

  • Schedule service

    Here you indicate whether you want to schedule the service in the Capacity Planning, to quickly gain insight into the capacity per employee over the coming weeks and/or months. For more information, go to the following article.

Reports

Once you have everything set up properly and are working, Simplicate offers several standard real-time reports:

  • Revenue forecast (article)
    This provides insight into the services that have been created but not yet invoiced (literally: what you still expect to be able to invoice per period).

  • Project result (article)

    In addition to Work in Progress (WIP), these reports also show the result per project. This result is the difference between revenue and costs (hours and purchases).

  • Invoiced and forecast (article)

    This provides insight into the revenue you expect per month, compared to the revenue that has already been invoiced.
