Many organizations use compensatory time. When more hours are worked than specified in an employee’s schedule, the employee receives additional leave in the form of compensatory time.
Simplicate makes it possible to automatically add this to the leave balance via the Hours check.
The settings
First, we recommend creating a separate leave type via Settings > HRM > Leave type, named ‘Compensatory time’. This way, you can later easily analyze how much compensatory time someone (or the organization as a whole) has received.
After doing this, go to Settings > Hours > Check, where you set the option ‘Add compensatory time via hours check’ to 'Yes'. This setting enables the automatic addition of compensatory time when someone has registered more hours than their schedule includes.
How it works
In the Hours module under the ‘Register’ tab, you can see on the right-hand side how many hours have been registered and how many scheduled hours are in the employee’s schedule. You will see both the numbers and a visual representation of the ratio between ‘spent’ and ‘available’ hours (red indicates that more hours have been registered than scheduled).
When an employee’s hours are approved and more hours have been registered than scheduled (this only applies at the weekly level), the following pop-up will now automatically appear:
In this pop-up, you will find the following information:
The number of registered hours in that week
The number of scheduled hours in that week
The week period (the exact start and end dates)
Simplicate then proposes the number of compensatory time hours you can add. However, as shown in the image, you can manually adjust this number if you want to deviate from the suggested amount.
After confirming via the green ‘Add to balance’ button, the hours are added to the employee’s leave balance.
You can now find the compensatory time hours in the employee’s leave overview via HRM > Employee > Leave. Additionally, a note will be added to the timeline, allowing you to see who granted the compensatory time and when.
Note: When you reopen and/or reject the approved week, any previously added compensatory time hours will be removed. Upon re-approving the week, the described pop-up will appear again, allowing you to re-add the compensatory time hours. All these actions are logged in the employee’s timeline in HRM!
