Mailchimp is a user-friendly system for sending online newsletters.

For many organizations, this is a powerful way to keep (potential) contacts engaged who are stored in your Simplicate CRM! Additionally, sending emails in Mailchimp is super easy. The system is well-organized and visually appealing, allowing you to launch your first campaign live with just a few clicks!

If you have a Mailchimp account and want to use the integration, activate it via Settings > Account > Add-ons and Integrations > Mailchimp:

As shown in the image above, you need to enter the API key from your Mailchimp account here. You can find this key in your Mailchimp account under Account > Extras > API keys.

Once you copy and paste the key here, you can activate the integration.

Now that you've done this, the mailing lists you have in Mailchimp will be synchronized and will also appear in Simplicate under Settings > CRM > Mailing Lists (New).

The mailing lists you see here are the same ones you’ve created in Mailchimp. By default, the mailing lists are marked as active (see the "Active" column). If you don't want to use a particular list from Simplicate CRM, you can click on it and check the "Blocked" box.

You can also select tags here. Tags you don’t select will be blocked in Simplicate.

If there are missing lists or tags, you can choose to synchronize again under 'Mailing Lists'.

The active mailing lists will then be visible under CRM > People > Personal Data > Mailing Lists:

The email address you filled in the contact details will automatically be the email address that is displayed under the 'Mailing Lists' field group and will be synchronized. If the person has a different email address as a contact, you can manually add it here.

When you select a mailing list for a person in CRM under Mailing Lists, Simplicate will send this to Mailchimp. At that point, the email address, along with the first and last name, will be added to Mailchimp.

When a list is selected for a person in CRM, the option to add tags will also appear. These tags will be synchronized for that person and mailing list to Mailchimp.

Have you already populated your CRM and want to transfer a large number of people to Mailchimp all at once? You can! Go to CRM > People. Make a selection of the people you want to select. Use the checkboxes on the left to indicate who you want to select. Clicking the top checkbox will select everything at once. Then click Actions > Modify, and you'll see the pop-up below.

Once you provide your changes and click Save, all the selected people (including email address, first name, and last name) will be added to the respective mailing lists in Mailchimp. Additionally, any tags from Simplicate will also be added to the person in Mailchimp's mailing list.

Within Simplicate CRM - People, it is now also possible to filter based on the mailing lists and combinations of tags in Mailchimp. These options will appear among the standard filters in CRM > People.

Timeline

On the overview page, changes made to the mailing lists will also be logged. For example, you'll see if people were removed from the mailing list or if the synchronization was successful.

This is how you manage your Mailchimp mailing lists from Simplicate CRM.

When a person unsubscribes from a mailing list in Mailchimp or if you remove someone from the list in Mailchimp, this will automatically be updated in Simplicate through webhooks. This ensures that your list in Simplicate is always up-to-date with the lists in Mailchimp.

Note:

  • HRM employees will also be shown in CRM People and cannot be synchronized collectively.

  • Only people with an email address will be synchronized. People without an email address will not appear in Mailchimp.

When synchronizing people to mailing lists in Mailchimp, it checks whether the person already exists based on the email address. If they do, Simplicate will only update the new tags, remove the person, and/or handle any unsubscriptions. (The name in Mailchimp will not be overwritten in this case).

Whether an email has been sent, opened, etc., is all information you can find in Mailchimp.
