HubSpot, among other things, is used to send mailings to (potential) customers. For many organizations, this is a powerful way to keep (potential) relationships engaged that you have in Simplicate CRM!
If you have a HubSpot account and want to use the integration, activate it via Settings > Account > Integrations > HubSpot:
As you can see in the above image, you need to enter the private app token from your HubSpot account here. You can create this token by following these steps from HubSpot.
Click on the settings icon in the top right bar of your HubSpot account.
Navigate to Integrations > Private apps in the left menu.
Click on Create private app.
Configure the details of the app in the 'basic-info' tab:
Enter the name "Simplicate" as the name.
Hover over the placeholder logo and click the upload icon to upload a square image that will serve as the logo for your app.
Click the tab 'Scopes' and check the box for CRM:
| Read | Write |
crm.lists | X | X |
crm.objects.companies | X | X |
crm.objects.contacts | X | X |
After you finish configuring the app, click Create app in the top right corner.
Then, in the dialog box, review the information about your app's access token and click Continue to create.
Once you copy the key and enter it into Simplicate, you can activate the integration. Do this via Simplicate > Settings > Account > Integrations > HubSpot.
Now that you have done this, the mailing lists you have in HubSpot will be placed under the CRM tab 'Mailing Lists (New)' in Settings after synchronization. The fields will be visible after synchronization under Settings > CRM > Mailing Lists (New).
The mailing lists you see here are the ones you created in HubSpot. By default, the mailing lists are set to active (see the "Active" column). If you do not want to use a specific list from Simplicate CRM, you can click here and enable the "Blocked" checkbox.
The mailing lists that are active will then appear in CRM > People > Personal Information > Mailing Lists (New).
The email address you have entered in the contact details will by default be the email address listed under the field group 'Mailing Lists (New)' and will be synchronized. If the person has a different email address as a contact person, you can manually add it here.
When you check a mailing list under Mailing Lists (New) for a person in CRM, Simplicate will communicate this to HubSpot. The integration with HubSpot supports the fields: email address, first name, and last name. Upon synchronization, the email address, including first name and last name, will be set in HubSpot.
A contact is also created in HubSpot, which is necessary to add a person to a list in HubSpot. Whether the contact already exists is determined based on the email address. If a contact with this email address already exists, the existing contact in HubSpot will be linked to the list.
Collective Changes
If you have already filled your CRM and want to transfer a large number of people to HubSpot at once, you can do so! Go to CRM > People. Select the people you want to transfer. Use the checkboxes on the left to indicate whom you want to select. By clicking the top checkbox, you can select everything at once. Then click on Actions > Modify, and you will see the following pop-up.
Once you submit your changes here and press 'Save', all persons (including email address, first name & last name) will be added to the respective mailing lists in HubSpot.
Within Simplicate CRM - People, it's possible to filter based on the mailing lists in HubSpot. These options will appear among the standard filters in CRM - People.
Timeline
On the overview page of relationships, changes made to the mailing lists are logged. Here, you can see if mailing lists have been added, if people have been removed from the mailing list, or if synchronization has been successful.
This is how you manage your HubSpot mailing lists from Simplicate CRM.
Note:
The number of persons in Simplicate may slightly differ from the number in HubSpot due to HubSpot's criteria:
Only persons with an email address are synchronized. Persons without an email address will not appear in HubSpot.
Recipients naturally have the option to unsubscribe from your emails. These addresses will be removed from the HubSpot list but remain available within Simplicate.
