1) Can I split tasks?
You can split a task by positioning between days/weeks/months and using the right mouse button. Then, click on Cut here.
This is particularly useful if a task is handed over to someone else after two weeks or if you want to create a clear point at which the task status can be updated.
2) Is it possible to customize the colors of the employee overview?
Yes, this is possible. Please refer to the article below for instructions:
To adjust the percentages at which the colors change, navigate to Settings > Capacity Planning > General Capacity Planning Settings in your Simplicate environment.
Next, under "Threshold Capacity Indication," you can modify the percentages at which the color changes.
3) Which location is the best for planning?
With Simplicate's Capacity Planning, you can create and schedule tasks in two ways. You can create tasks in the Projects module under the Planning tab and then schedule them from the Capacity Planning module. Alternatively, you can directly create and schedule tasks in the Capacity Planning module itself. When should you use each method?
You can try both approaches to see which works best for you. Generally, consider the following:
Using the Planning tab in the Projects module:
If you need to break down budgets by type of hours into many smaller tasks, this method is effective. It allows you to maintain an overview of all tasks and ensures that no task is overlooked.
After creating tasks here, you would then proceed to the Capacity Planning module to schedule these tasks.
Directly in the Capacity Planning module:
If you are dealing with fewer, less specific tasks but larger budgets that you want to schedule all at once, it's likely easier to use the Capacity Planning module directly.
This approach streamlines the process for tasks that do not require detailed breakdowns by hour type.
Ultimately, the choice depends on your specific workflow and preferences. Trying out both methods can help you determine which approach suits your needs best.
4. Can I see how many hours someone still has available to schedule?
The remaining available hours for scheduling are visible per day/week/month for each employee.
5) What are placeholders?
If you're unsure who will execute the tasks yet, you can create a placeholder. Simply plan the task without selecting a specific employee in Simplicate. Simplicate will then create the task as a placeholder. Later on, you can easily determine who is available and assign the placeholder task to that employee.
6) Is there a limit on scheduling recurring tasks?
Tasks in the capacity planning can be scheduled to repeat. There are distinctions between weekly and monthly repetitions. There is a limit on scheduling recurring tasks, dependent on whether they occur weekly or monthly.
Note: the limit for recurring tasks also depends on the end date of the employee's schedule for whom you are scheduling the task. If the end date of the schedule falls earlier than the weekly/monthly limit, that end date will determine the scheduling.
Weekly
If you select a weekly repetition, Simplicate imposes a limit of 1 year from the day you schedule the task. For example, if a task is created on 09-04-2025, the recurring task can be scheduled until 09-04-2026.
Monthly
If you opt for a monthly recurrence, Simplicate applies a limit of 5 years from the day you schedule the task. For example, if a task is created on 09-04-2025, the recurring task can be scheduled until 09-04-2030.
