Insights: Value of Planned Tasks per Employee

This report provides insight into the sales value of planned tasks. It shows how much work is in the 'pipeline'.

Capacity planning focuses entirely on scheduling hours. But how does the financial side look? This report shows the value of all planned time and how it compares to the set target of employees.


Data Selection
The report is limited to a date selection from today onward. It looks at all future tasks and targets, including today's date.


TIP: Decide for yourself how far ahead you want to look. The more months you select in the filter on the side, the more is expected as a target, and usually fewer tasks will be registered in proportion.


Example: You expect 100,000 in revenue every month and plan about two months ahead. In this case, select two months to compare the target of 100,000 against the sales value of all planned time.


Determining the Value of Tasks
The value of the tasks is determined by the number of hours scheduled, multiplied by the sales rate. This rate may either be the employee's rate or the rate for the hourtype on which the task is based, depending on the project settings.


Note: Tasks are synchronized nightly to Insights. Discrepancies between capacity planning and the Insights module are often caused by this synchronization.


Determining the Value of the Target
The value of the target is determined by the productivity target set in the employee's schedule. The formula is as follows:


For each employee, the following is calculated:

The number of days that someone is expected to work per schedule * the sales rate on the employee's schedule * the productivity target in %.


Example:
Someone works 32 hours per week
There is a sales rate set of 100 euros for the employee
The productivity target is set at 75%
Target value = 32 hours * 100 euros * 0.75 = 2400 euros


KPIs
The report consists of the following KPIs:

  • Value planned vs target in entire period

  • Value planned including target

  • Required planning for target


Here’s an explanation of what each value means and how it is calculated:


Value Planned vs Target in Entire Period
This shows the ratio between the value of tasks and the target. Ideally, this should be 100% or higher.


Value Planned
This shows the sum of all planned tasks over the selected period. In other words, all future tasks including today * the rate of the scheduled hours.


Value Target
Below the Value Planned, the target for the selected period is shown. How the value is determined is explained above.


Required Planning for Target
This shows the difference between the desired target and the value of the planned tasks for the selected period.


A positive value means that more time needs to be planned to meet the target. A negative value means that more has been planned than the target initially set.
