Registering hours in Simplicate

There are multiple ways to register hours in Simplicate. In this article, you can read about all methods, including their advantages and disadvantages.

Hour registration

You always register hours on a Project - Service - Hour type and can then add an explanation to it. Depending on your settings, you can also place this explanation on the invoice.

Recurring pattern

By selecting the correct recurrence pattern, you can indicate that certain activities recur daily, weekly, or annually. You can read more about this in:

Duplicating or moving hours

After you have registered hours, you can easily duplicate them or move them to another day of the week.

  • Duplicating: Click the hour block so that the pop-up opens. Then you will see a duplicate icon at the top right. After clicking it, the hour block is copied. It is then possible to move this block to another day.

Tip: you can also copy an hour block by holding down Alt (Windows) or Option (Mac) and dragging the hour block to another day.

  • Moving: Click the hour block and then, by holding down the mouse, you can move the block to another day.

Copying a full week

If you want to register hours in the current week that correspond to the hours written last week, you can copy the full week via the copy button. This button is available in the Agenda and the Timesheet view.

This button copies the written hours to the new week. The projects, services, and hour types are included, as well as the start time, end time, explanation, and location. Leave, absence, mileage, and declarations expense claims are not copied.

If you accidentally copied the week, you can still undo the copy action at that moment with the following button:

Scheduled hours - worked hours & productivity expressed in euros

You always see your own hours at the top right. There you can see the number of scheduled hours, the number of registered hours, and a value that shows the amount for which you have been productive (if the value is not visible, you do not have the rights to view this).

In the example above, someone has a schedule of 40 hours. This is set in HRM for this employee.

At the bottom of the view, you see a number of hours per day. As soon as you start registering hours, this is adjusted in real time.

As soon as you register, for example, 6 hours on Tuesday, the 00:00 will change to 06:00 and it will still remain red. After all, according to the schedule in HRM, you have 8 hours on this day. As soon as you register 8 hours, the red color changes to green (08:00 hours).

Rights to view / edit other employees

Depending on the rights, you only see your own hours and/or those of your colleagues.

Tooltip

A tooltip is available for small hour blocks. This tooltip shows the details from an hour block when you hover over it with the cursor.

This makes it easy to still see the details for small hour blocks from the agenda and hour blocks written in the timesheet view.

Agenda view

Within the agenda, you can zoom in and out at the top right. By default, this is set to 100%, but you can reduce or enlarge it.

If you want to quickly go to another date, you can use the calendar for that. To the left of the calendar is the option to go to the current week at the press of a button.

Finally, you can determine at the top right whether you want the weekend to be shown or not.

Timesheet view

The timesheet view generally works the same as the agenda view. The big difference, however, is that in the timesheet view you cannot enter a start time, because you only register the number of hours you worked on something.

View per line

When you register hours in the Timesheet view, you will see a number of icons per line. These are the following:

From top to bottom these are:

Relation, Project, Service, and Hour type. This way, you have insight at a glance into what your registration is recorded on.

New registration

With the green ‘New’ button (or with the ‘N’ key on your keyboard), you can create a new registration in your timesheet. This way, you can register on both hours and assignments from capacity planning.

This gives you part of the functionalities in the timesheet that you know from the agenda view, such as insight into your budget and spending, adding an explanation directly, and making your registration recur periodically.

Adding an hour line

At the bottom left of the timesheet, you also have the option to add a new line by clicking ‘New line’. A pop-up will then appear, and you can select a project - service - hour type there. Then click ‘Add’.

The line has now been added, allowing you to register time on it throughout the week by entering the hours and minutes. You can also register hours using decimals. Example: you want to register one and a half hours. You can then enter 1,5 or 1.5 (both comma and period), and the timesheet will automatically convert this into one and a half hours and register it as 1:30.

Tip: Have you been assigned disciplines in the HRM module? Then those disciplines will automatically be suggested in your hour registration.

Registering an explanation

In the timesheet, you can also register an explanation on existing registrations. However, this is only possible in the day view. In the week view, there is no space for it. Within the timesheet, you go to day level by clicking the relevant date at the top of the timesheet:

Regardless of the day or week view, you can always find the explanation again using the tooltip at the top right of the registration:

Sorting hour lines

Within the timesheet, it is also possible to sort the hour lines. This allows you to determine the order of the hour lines yourself. You can do this by selecting the sort icon in front of the hour line, holding down the mouse, and then moving the line.

Hour planning

In addition to the agenda and timesheet view, you can also register hours via Hour planning. The major advantage of Hour planning is that you can also set the overview per month and, with the help of filters, set only the projects, employees, and/or teams you are currently looking for.

Settings

You determine for the company through which route the hours should be registered. Via Settings > Hours > Register, you can set this preference:

When it is set that the choice belongs to the user, then as a user you can set the desired view yourself via your profile:

  • Agenda: It is only possible to register hours via the agenda in the Hours module;

  • Timesheet: It is only possible to register hours via the timesheet in the Hours module;

  • Both: It is possible to register hours in the Hours module via both the agenda and the timesheet.
