CRM access restriction on company profile

In Simplicate, you can set specific permissions for viewing and opening relations.

Written by Simplicate Support

This provides an additional layer of security and privacy for sensitive customer data.

What does it entail?

In the "Company details" or "Personal details" tab within a relation in CRM, there is a field group called "Access". Here you can choose from two radio buttons:

  • All employees: Everyone has access.

  • Business profile(s): Only users with rights to that business profile have access.

If no business profile has been added, access remains as before, and all users can view the relation.

Note: Users with the user group 'All rights' always retain access to all relations, regardless of the CRM settings.

Restrictions when access is limited

When the relation is restricted for you, you cannot:

  • view the company or person in CRM;

  • retrieve the company or person via the API;

  • retrieve documents and timeline messages via the API if they were created on the CRM relation;

  • create sales, projects, or invoices for the relation;

  • export restricted relations.

Information about further restricting Simplicate by business profile for Sales and Projects can be found here: restricting business profiles.

Important notes

  • Note! Users with all rights can always access all relations and information.

  • Anyone with access to the relation and the right to 'edit' in CRM can restrict the relation.

  • The restriction per business profile does not apply to the Insights module.

  • It is currently not yet possible to change or import this access in bulk. We are exploring the possibility of making this available in the future.
