Registering and changing recurring leave or absence

This article explains how to easily register recurring leave or absence.

If an employee within your organization has parental leave one day a week or is undergoing a reintegration process, you may want to register recurring leave or absence in Simplicate.

Essentially, it is not possible to register recurring leave or absence in Simplicate, which is why we recommend the following approach.

The easiest way to do this is by temporarily adjusting the schedule of the employee, and after registering the leave or absence, restoring the schedule to its original state. This article explains how this works.

To register this partial series, it is necessary to temporarily adjust the schedule. You can do this via HRM > relevant employee > Schedule.

If, for example, you want to register leave or absence every Monday for the upcoming months, set the schedule so that the employee works 8 hours every Monday and set the remaining days to 00:00 hours.

In the agenda view of the Hours module (Register), this day will now appear white, and the other days gray. In the white field, you can drag a time block and choose leave or absence:

Check "start date", "end date" and "all day":

Then the schedule can be changed back to the original situation, for example, 40 hours.

After the schedule has been adjusted, recurring leave or absence has been registered up to the entered end date, and the schedule is again available to register hours on the remaining days.


Editing recurring leave or absence

Has the employee's situation changed, for example because the leave moves to a different day or the number of hours changes? Then you don't edit the existing series in one go. Instead, you end the original series and then create a new one. You do this in three steps.

In this example, we use a recurring leave registration that runs from 31-08-2026 to 31-10-2026, in which the employee is off every Monday. We want to move this leave to Wednesday, starting 28-09-2026.

Step 1: Reopen approved weeks

Registrations in weeks that have already been approved can no longer be changed. So first reopen the weeks that contain the leave or absence registrations you want to edit:

  1. Go to Hours > Week check.

  2. Open the Approved tab.

  3. Search for the employee's name.

  4. Reopen the relevant weeks.

Have the weeks not been approved yet, or don't you use week check? Then you can skip this step.

Step 2: Delete the original series

Go to Hours > Register and open one of the leave or absence registrations from the original series. Then delete it.

Step 3: Now create a new recurring leave/absence registration and set an end date

Follow the steps above to create a recurring leave or absence registration. Change the end date of the series to the date from which the new leave or absence should start, and save the registration. In this case, that is Monday 28-09-2026.

The original series now stops on the end date you set.

Tip: Did you reopen weeks in step 1? Don't forget to approve them again via Hours > Week check.

Step 4: Register the new series

Now create the new recurring leave or absence registration. This works the same way as described above under Registering recurring leave or absence:

  1. Temporarily adjust the employee's schedule via HRM > relevant employee > Schedule, so that only the hours on which leave or absence should be registered are available.

  2. Go to Hours > Register and register leave or absence with "All day" checked.

  3. Enter the start date (the date the new situation takes effect) and the end date of the series.

  4. Change the employee's schedule back to its original state.

In the hour planning, you can now see that the recurring leave or absence registration has moved to Wednesday from 28-09-2026.
