What should you keep in mind when changing your organization's name?

This article provides a overview of everything you need to consider when your organization goes through a name change.

If your organization is changing its name, this guide will help you carry out the necessary actions. Updating the company name directly affects all locations where the name is visible. Previously sent quotes and invoices will not be updated automatically. However, if you choose to resend these documents, the updated company name will be shown.

Stationery
If you use stationery, check whether the previous company name still appears on it. You can update the letterhead by navigating to: Settings > General > Stationery.

Logo Update

If the company logo is also being changed along with the name, you can make these updates via: Settings > Account > Company profile > Corporate identity.

Notify Simplicate
It’s important to inform us of the change as well. You can do this via your Customer Success Manager or by contacting our support team at [email protected].

Updating your Company name

You can find your own organization at: CRM > Relation type > My company
Select the desired company profile and open it. Then go to the Company Data tab, where you can change the name of your company profile (your own organization). Save the change by clicking Save, and the update will be applied successfully.

Another place where you need to update your information is the Company Profile section: Settings > Account > Company Profile > Open the Profile
Here, you can make additional changes such as updating your VAT number, Chamber of Commerce (KvK) number, and IBAN:

Updating Your Quote and Invoice Templates

A name change often comes with a new logo as well. There are several places where your logo might be set—make sure to check the following areas:

Quotes

  • Go to Settings > Sales > Quote Templates. Open your templates and check for old logos or backgrounds. Also, check the text of your quotes for references to the old company name. Be sure to check all templates.

  • Logo in the Digital Signing Portal: Navigate to Settings > Account > Company Profile, open the profile, go to the Corporate identity tab, and update your logo there.

Invoices

  • Stationery: Go to Settings > General > Stationery. Create a new stationery or replace the existing one.
    Note: If you’ve created a new stationery, you must also link it to your invoice templates: Settings > Invoices > Invoice Templates > Open Template > ‘Stationery’ Tab, then select the new stationery.

  • Invoice Details: Within the same template, you’ll also find the Footer and Email Template tabs. Be sure to review and update the text in these sections to reflect your new company name if necessary.
